 MOVE IN INFORMATION-STUDIOS 
First, the staff at University Manors, Ltd. would like to thank you for choosing to live with our company. We welcome you and hope to have a long and pleasant relationship with you. We know the move-in process can be an exciting, yet very hectic time for everyone. Because of this we have compiled a very detailed list of information for you to read through, it is imperative you read through the following information thoroughly. 
Move in dates for Fall 2012
  • Non-UML apartments/houses is August 10th, 2012
  • Studio buildings is August 13th, 2012
  • UML apartments/houses is August 17th, 2012

Move-in Times

10:30am-3:30pm. The day you are scheduled to move-in you will need to send ONE representative from your apartment/house to the office to pick up all the keys. Parking is very limited and it will quite hectic here, so the fewer people that come the less chaos we have in the parking lot.

*Please keep in mind some of you will be moving in on a Friday. We are NOT open on the weekends so it is best to arrive earlier in the day so that if there are any major concerns regarding your home we are aware of it before we close for the weekend.

 

What To Bring on Move-In Day

The person who comes to pick up the keys will need to make sure they have the following items with them:

1.       Proof of Renter???s Insurance for every person that is on the lease. If you are missing anyone???s you will NOT be getting the keys. Please do not make us be the bad guys on Move-in day by refusing you the keys. Every year I am put in this position and have to look like a jerk to tired-frustrated-angry parents. The insurance is part of your lease agreement and we also provided you an information form that stated this was a requirement that both you and your co-signer signed.  DO NOT fax, email or mail your insurance to the office ahead of time! You must have it IN HAND with you to get the keys. Any insurance forms sent to the office prior to your move-in will be recycled.

2.       RENT. Make sure you put your house/apartment address in the memo of your check (bottom left corner). Rent is due in ONE check for the entire rental amount. *Make sure you make checks payable to the appropriate company!* University Manors, Ltd. is the parent company to several other companies (Campus Homes, McMillen Properties, Northstar, B.R.G., M.G.M, Capital City, Falcon, etc.). To find out which company you should be making your checks payable to please visit our website: www.universitymanors.com and click on the Move-In Information tab. There you will find a list of all of our property addresses and which companies they are under.

3.       ROSTER. Please bring a TYPED piece of paper with your apartment address, names of each tenant, phone numbers and email addresses.

4.       Miscellaneous items to bring: carbon monoxide detectors are provided at 77 W. Northwood, McMillen Properties, 104 E. 12th Ave. #4, 149-157 W. 10th, 116 E. 12th and 155 E. 13th and wherever sleeping quarters are contiguous with mechanical rooms containing a combustion source (furnace, etc.). It is a good idea to bring one with you to have in your home at move-in. Also, please bring extra light bulbs and 9-volt batteries for your smoke detectors. They will all be working when you arrive, but they are good to have on hand throughout the year as they need replaced, which is your responsibility to do so.

5.       If you are sending someone else to pick up your keys on Move-in Day please contact Molli (Molli@universitymanors.com) and notify her who is coming on your behalf. They will need to bring your rent, insurance information, roster and a photo i.d. of themselves to pick up your keys.

 

 

 

Frequently Asked Questions

1.       What happens if I cannot pick up my keys on my scheduled move-in day? If you are planning to move-in at a later time you will need to notify Molli (Molli@universitymanors.com) and let her know when you will be coming. Remember, we are not open on Saturdays or Sundays. This ONLY matters if you do not have any other roommates. As long as someone from your house/apartment will be coming to pick up keys, pay rent and give the insurance on the scheduled move-in day you do not need to notify us if you are not arriving that day.

2.       What is required to meet the renter???s insurance requirement?  You will either need to bring a copy of your renter???s insurance policy (must have your name and the apartment address listed on it) or a letter from your parent???s Homeowner???s Insurance Agent stating that you, by name, are covered at your rental address. A copy of their Homeowner???s Insurance will NOT be acceptable. You must have something that has YOUR name and OUR apartment address on it.

3.       My insurance agent needs specific information on the apartment I will be living in, where can they find that information? You will need to instruct your insurance agent to visit: http://www.franklincountyauditor.com/  Here they will be able to look up the number of units in your building, what year it was built, the type of building it is etc. Please do NOT call us at the office for this information as we too have to look it up and that can be very time consuming given how busy the office is that time of year. Your agent works for you, so please instruct them on where to get the information if they do not already know. *Please get this taken care of well before your move-in day to avoid delays!*

4.       Will my apartment be painted/cleaned/carpets cleaned before I move in? Yes. Painting is done on a case-by-case basis. Sometimes the entire apartment will need painted, sometimes just a few walls, etc. We do hire professional cleaners to come in and clean your apartment. If you feel as though it has not been cleaned properly PLEASE CALL US immediately when you come to move-in. We have paid them to do the job right and there is no reason you, as our new tenants, should have to clean anything. All carpets are automatically cleaned before you arrive.

5.       Does our apartment come with blinds or curtains? We do not provide window treatments (unless you live in one of our studio locations). If there are blinds or curtains there when you move in it is because they were left by the previous residents. We are not responsible for the condition or maintenance of any window treatments left by previous tenants. If you are in need of window measurements you may contact us at the office and we will give you the contact information for the current residents so that you can schedule a time to go over and get any measurements you may need. *We will only provide this information up until August 1st, 2010.* After that date we will not be able to give you the resident???s information and you will not able to get access to the apartment until the day you move-in.

6.       When should I schedule to have my utilities turned on, and which utilities do I need to set up? Please schedule your utilities to be turned on a few days before your scheduled move-in day in case your apartment is available early. Water bills will automatically be sent to you via email or mail, you do not need to do anything to set up water. Depending on if you have any utilities included or not you will need to set up your electric, gas, cable, and internet. (Internet service is provided at: 31 Chittenden, 173 W. 9th, 98 E. 12th, 42,115,120 E. 13th, 49,80 E. 14th and 1607, 1615 N. 4th St.).  *Time Warner is the service provider of choice in the campus area.* The Property Manager does not allow any satellite dishes to be placed on our roofs. *There are TWO electric companies in Columbus, one is through the City and one is AEP*. Call AEP first (phone numbers below) as they service the majority of properties around campus. If they tell you they do not have your address then you will need to call the City of Columbus Division of Electric.  

7.       I need to get into my apartment as soon as possible, is there any way I can move in early? No. We maintain a strict policy on this for both your benefit, and ours. IF your apartment is done early we will automatically contact you and offer you the keys. If you do not hear from us, it is NOT going to be ready early. Please do not ask your parents to call, the answer will still be no. Those of us in the office all went to Ohio State and we sincerely understand the headaches involved in being homeless in-between leases. I promise we will do the best we can to get everyone in as soon as we can.

8.       How can I get a University Manors parking permit (if applicable)? We will have towing temporarily suspended in our lots ONLY when you come to move-in so you and your parents will not have to worry about being towed. Permits will NOT be issued on Move-in day. You will need to come to our office September 20th-September 24th to pick up your permits. You will need to know your license plate, make, model and year of your vehicle. Permits are FREE. Please note there is a limit, depending on your location, on how many permits will be given out. There will be more information on this provided to you in your move-in packet that you get when you pick up your keys.

9.       How can I get a street parking permit? The City of Columbus sells them from their office, 2700 Impound Lot Rd., Columbus, OH 43207 (614-645-6400). Off Campus Student Services (614-292-0100) will be selling them at the Ohio Union in September. For specific dates you will need to contact them. In the past they have been $25/year. Those of you in multiple unit complexes are highly encouraged to purchase one, even if you get a UML pass. One ticket for parking on the street without a permit is $35.00, so the pass will pay for itself.  *In order to purchase a parking permit they will require you to have a SIGNED copy of your lease agreement.* Every tenant was given an additional copy of their lease at the time of their lease signing (trust me, I gave you one!). You are welcome to bring that in any time before August 31st and we will be happy to sign that for you. If you have lost that copy you will need to contact Kelly at the office to schedule a time to get a new one. *There is a $5 cash charge for a new lease copy if you lost the one I gave you.* Please give me a 24 hour notice so I can get that ready for you. Also, please check with your roommates to see if they need one as well, that way I can get them all ready at once for you guys. *ATTN TENANTS OF 149, 151,153,155 and 157 W. 10th* You will want to make sure you get your city permits BEFORE your move-in day! The city of Columbus is less than accommodating to students, parents and moving vans being on the street without a city permit. They WILL ticket you! If you have questions about this you will need to contact the City, their telephone number is provided below. UML is not responsible for people receiving parking tickets or from being towed from non-UML parking lots.

10.   Are there locks on the bedroom doors? Privacy locks are installed on all bedroom doors. As per your lease agreement we do not permit you to have keyed locks, for multiple reasons. HOWEVER, if you move in and find a keyed lockset on your door and there is not a key provided you may take it to Vanguard Hardware 614-267-6602 and for a nominal fee (YOU must pay) they will provide you with a key to the door. If we ever have a showing or a rooming house inspection, and after notifying you, we find that your door is locked we will drill it out at YOUR expense. You are NOT permitted to install deadbolt locks on any door at any time and any damage done to a door because of any locks you put on it will be deducted from your security deposit. Again, privacy locks are provided so that you are able to lock yourself in your room.

Special notes from Brian the Property Manager:

1.       Please help us and the City of Columbus keep the off-campus area clean during the move-in time period by breaking down any and all cardboard boxes before discarding them in the dumpster(s) so the capacity of t he dumpster(s) is not compromised by  just a few large unbroken down boxes.

2.       Please bear in mind COLUMBUS CITY CODE AND COLUMBUS FIRE CODE PROHIBITS ANYTHING FROM BEING STORED WITHIN A 5??? (FIVE FOOT) RADIUS OF ANY COMBUSTION APPLIANCE I.E. FURNACE, WATER TANK, GAS RANGE. FURTHER, IF DURING ANY OF OUR ROUTINE (QUARTERLY) FURNACE FILTER CHANGING ROTATIONS WE DISCOVER ANYTHING IN THE MECHANICAL ROOM OF YOUR APARTMENT/HOME, NOT ONLY WILL EVERYTHING BE REMOVED AND NOT PUT BACK BUT WE WILL CHARGE YOU A $45.00 SERVICE CALL TO REMOVE IT.

3.       Each apartment/home needs to purchase a commercial toilet plunger as the company DOES charge service calls for clogged toilets and sinks (do not waste your money on ???pretty??? plungers, they do not work well). You are not charged service calls when something mechanical fails on the unit, only when you are directly responsible in some manner for the issue existing (like bottle caps in garbage disposal, tampon causing clogs, etc.).  

4.       You Tube is a great resource on troubleshooting issues with your garbage disposal and relighting pilot lights. Did you know there is a reset button on each garbage disposal unit? Try pressing that before calling the office for maintenance, it could be as simple as just pushing a button. Keep in mind if we do come out and your disposal is filled with glass, bottle caps, food, fish gravel, wash rags, etc. you WILL receive a service call. And yes, we really have had students call and say their disposal wasn't working and it was because it was filled with gravel from their fish tank. More than once.

5.       INEVITABLY, EVERY YEAR AFTER EVERYONE HAS MOVED IN, WE GET INUNDATED WITH SERVICE CALLS ABOUT CLOGGED TOILETS AND SEIZED DISPOSALS. OUR MAINTENANCE STAFF IS EXTREMELY BUSY DURING THIS TIME AND IF A MAINTENANCE PERSON COMES OUT TO YOUR APARTMENT/HOME AND PLUNGES YOUR TOILET ONCE OR PUSHES THE RESET BUTTON ON THE UNDERNEATH OF YOUR GARBAGE DISPOSALYOU WILL BE CHARGED A $45.00 SERVICE CALL
